Newly Engaged? Congrats! Some people might tell you to hold on to that feeling as long as you can because planning a wedding can be a scary ordeal! While it may be true that there is some stress involved, being well-organized is the key to turning a scary planning process into the wedding of your dreams.
Welcome to the only checklist you’ll ever need for planning a wedding in Kitchener-Waterloo. We will discuss timelines, Kitchener-Waterloo wedding venues, wedding vendors, KW hotels, & help you determine your budget, décor, and everything in between!
Start a wedding binder:
Grab clippings from bridal magazines, fashion magazines, gardening, design, even food magazines – anything that inspires you! Keep this for reference as you move forward with the wedding planning process.
Determine Your Budget:
This will be a work in progress, but the sooner you start assigning dollar figures to *everything* the better you’ll feel. Weddings can be expensive, but proper planning now will alleviate stress from unforeseen costs later!
Pick Your Wedding Party:
You’ll have announced your engagement to the world and within minutes people will want to know who’s in and who’s out. This can be tense. Remember: Who do you want to be by your side for life? Make the choices that are right for you and your partner.
Start Wedding Venue Shopping:
This one is big – certain Waterloo and Kitchener Wedding Venues are booking wedding ceremonies/receptions two-three years in advance. Choose 3-5 dates & times that work, and then begin your search. You may have to be a bit flexible, but the sooner you start, the better the chances you’ll grab the wedding venue that’s right for your special day!
Here’s a few we recommend:
THEMUSEUM: You’re not like every other couple, so why should your wedding be like everyone else’s? Break free of the stale banquet hall routine and have the wedding that allows you the creativity and flexibility you deserve at THEMUSEUM!
Hacienda Sarria: Beginning with your first visit to the lavish Spanish-style estate, to the moment you say “I do”, weddings at Hacienda Sarria are an elegant and luxurious affair.
Victoria Park: This beautiful Urban Oasis pairs nicely with any downtown Kitchener wedding venue – including ours! Go for pics, plan your ceremony, or just relax for a drink with the girls between the chaos!
Book Your Officiant:
Along with the wedding venue, it is equally important to find an officiant you and your partner connect with. They need to respect your wishes and fit your style – don’t settle for what theywant. Ask your wedding venue for their list of officiants that they’ve used in the past. The Walper Hotel has a preferred vendor, and it’s likely that most will.
Have an Engagement Party:
This is the most ‘optional’ item on our list and isn’t right for everyone. If you do choose to, we recommend letting one of these awesome restaurants to do the hard work for you:
Gilt Restaurant: A new contemporary restaurant in the heart of Kitchener’s Innovation District. Owned by two women who love food, people, and wine. Everything Gilt does is with care and passion.
The Berlin: Currently in the running for one of enRoute’s best new restaurants in Canada, Chef Jonathan Gushue cooks modern European dishes like hardwood-grilled beef rump with spaetzle and tomato vinaigrette paired with Belgian-style ale from Nickel Brook.
TWH Social: Downtown Kitchener’s destination for community & conversation, The Social’s high standards and friendly atmosphere makes them an expert in event catering & buzzworthy food.
It’s Gown Time!:
Start thinking about, shopping for, and trying on your gown. Don’t let this be scary, but rather special! Bring along your trusted confidants & where necessary, book appointments. Scheduling time will help ensure people are available and the staff at the bridal shops give you the attention you deserve!
A string quartet over cocktail hour? An MC/DJ combo? Or a live band that brings down the house? What do you envision for your guests? Along with your food, the entertainment will be a large part of what you and your guests remember of your happily ever after.
If your venue doesn’t include catering (we do!), they will likely have a list of recommended caterers. Make sure your tasting is impeccable! If they can’t cook 2-3 meals flawlessly, how will they cook dozens, or hundreds without mistakes? Keep your standards high on this one – food is so important to having a perfect wedding day!
Book your room block:
We know many wedding planners who forget this step. If you’re looking at a Kitchener-Waterloo wedding venue, you will likely have people from Toronto, Barrie, even Muskoka, that need at least one overnight stay. Luckily, there are a lot of great options for hotels in Waterloo Region.
Rentals & Miscellaneous:
Now is a good time to lock down anything your wedding reception venue might not be able to provide. Chairs, tables, table skirts & other linens – all items you may want to custom order.
Make sure your deposits are paid to any parties needing payment. Double check your DJs/musicians, your wedding reception venue, your rentals, and make sure your budget still makes sense. You may also want to begin building your guest list.
Maybe your partner picked the engagement ring themselves, or you did it together. Either way, this is a romantic & exciting step that makes your impending marriage even more real! Take your time and make sure they are uniquely YOU!
Don’t forget to order the invites! You should send them out 90 days in advance, and set RSVP for no later than 30 days to your wedding day. More on this later.
Brides, get your ladies together and get pick your outfits. Make sure they’re what *you* want. Bridesmaids are not the bride, they have to wear what you think is best. Remember that. Grooms, you’re likely not going to encounter resistance. Men like to look dapper. Your biggest challenge will be to round up the boys and get them sized. Remind them how stylish they’ll be and it will motivate them to book their fitting appointments.
Order The Wedding Cake:
It’s possible the cake has already been ordered, but we always like to put in a reminder at 3 months to make sure no one forgets!
Send The Invites!:
This is your moment of glory. You’ve spent weeks writing, ordering, and packaging your invites for your special day. It’s time. Bask in the warmth of this moment.
Time for Vows:
Writing them yourself, with family, or with your significant other? Either way, it’s time to start forming your thoughts. You can find guides on the internet but our recommendation after hosting thousands of weddings in Kitchener-Waterloo? Be true to yourself and your love story. Nothing says ‘true love’ like the authenticity in someone’s voice when they speak directly from their heart.
Most Kitchener-Waterloo hotels will start dropping your rooms 60 days before your wedding. Check-in with your preferred hotel to make sure all the rooms are filled. Also send a reminder to anyone coming from out of town that includes the hotel’s information & the names the room block is reserved under.
Makeup & Hair:
Book your stylists and do some testing. You’ll want to experiment with styles 6-8 weeks in advance. This will let you sleep soundly at night knowing you’re going to be your best self on your wedding day.
It’s time for the final fitting. Bring your Maid of Honour or mother (or both!) to learn how to bustle your dress. Have it pressed & brought home. Try not to try it on a dozen times a day. But also we won’t judge if you do. It’s your dress and you look fabulous in it!
These typically come pretty quick, but make sure you give yourself a 15-20 day leeway just in case the office has a hiccup!
Create your itinerary for guests.
Two Weeks To Go
Do a final check-in with all vendors & send your playlist to the DJ. Make sure all your requests are known & noted, and that you have sent out as many payments as you’re able to.
1 Week to Go
Send your finalized RSVP list to caterer/site coordinator. Any guests that should be on it and that are not should be called right away.
Finalize Seating Chart:
You have likely been chipping away at this for a while now. It’s time to finish it and put it away until the day of.
Send Final Details To Ceremony/Reception Venue Managers:
Send vendor details, such as arrival times, tear down times, & other special requirements to your ceremony/reception contacts.
Attend Bachelor[ette] Parties!:
Enjoy yourselves – the big day is almost here!
Get your hair trimmed. (Bride, please remind him. He’s forgotten.)
2-3 Days to Go!
Drop off place cards, decorations, menus, and other details you arranged to your wedding venue/ceremony/reception site.
Make sure anyone flying in/without a vehicle has appropriate transportation. Get some family & friends to assist with this.
Last Minute Items:
Everything should be in the hands of your vendors and trusted friends & family. With the exception of providing them with an emergency contact (preferably not you or your partner-to-be), your job is done. Try to relax. Tomorrow is the big day! Woohoo!
Run through where everyone stands, enters/exits from, and other last minute details at your wedding venue. Kitchener-Waterloo sometimes has construction, so make sure you are aware of any routes closed off that might affect your plans the next day. Give your wedding license to your officiant.
Make sure your bridal party and anyone else giving speeches or playing an official role has a day-of timeline!
If you haven’t already, present your parents/bridal party with their gifts.
Let Everyone Else Do The Work For You:
Introduce your point of contact (mother/father/MoH/Best Man) to the photographer & reception venue/ceremony venue coordinator so they can handle any requests.
